The best time for a call

A 9-to-5 day in San Francisco and one in London don’t overlap at all, so somebody has to stretch. The fairest one-hour slot is usually 8:30 AM in San Francisco, which is 4:30 PM in London. It asks San Francisco to start about half an hour early and London to stay about half an hour late.

When the gap is 7 hours, a short overlap opens up: 9:00 AM to 10:00 AM in San Francisco.

San Francisco shares Pacific Time with Los Angeles and Seattle, so the arithmetic is identical: an eight-hour gap most of the year and no overlap at all between two ordinary office days. Bay Area teams with London colleagues usually hold the standup at 8 or 8:30 a.m. Pacific.

The slot to avoid is Friday. Eight o’clock on a Friday morning in San Francisco is 4 p.m. on a Friday in London, when the office there is already thinning out.

Why the time difference changes

Both cities use daylight saving time, but they don’t switch on the same weekend. In the US, clocks go forward on the second Sunday in March and back on the first Sunday in November. In the UK, clocks go forward on the last Sunday in March and back on the last Sunday in October. In the weeks between the two changes, one city has moved its clocks and the other hasn’t, so the difference is an hour off its usual figure.

This catches people out every year, mostly with recurring meetings. Calendar apps keep a recurring event at the organiser’s local time, so for those few weeks it lands an hour earlier or later for everyone else.
